# Career Opportunity: Accounting, Administration, and Finance Assistant at the Embassy of Switzerland in Indonesia

Stepping into a diplomatic career with an international mission offers a unique chance to blend financial expertise with global diplomacy. The Embassy of Switzerland in Indonesia serves as the official diplomatic bridge connecting Switzerland and Indonesia across diverse sectors, including political relations, economic affairs, education, and cultural exchange.

Currently, the embassy is expanding its dynamic team and looking for a dedicated professional to fill a critical one-year fixed-term role. If you possess a strong background in financial management and administration, this opportunity allows you to contribute to meaningful bilateral cooperation and international development projects.

## Role Overview and Core Responsibilities

As the Accounting, Administration, and Finance Assistant, you will play a pivotal role in supporting the Swiss Agency for Development and Cooperation (SDC) initiatives, particularly working closely alongside the Indonesian National Board for Disaster Management (BNPB) and the Direct Action team.

Your day-to-day duties span four major pillars of operational support:

1. Programme Implementation Support
* Prepare comprehensive administrative and financial paperwork in strict compliance with SDC guidelines, covering Terms of Reference (ToRs), procurement requests, formal contracts, and invoices.
Review and verify all paperwork generated by BNPB and the Direct Action team, ensuring adherence to procurement protocols and Indonesian standard cost regulations (Standar Biaya Masukan* / SBM).
* Coordinate closely with the embassy’s finance department to streamline payment approvals and draft agreements using internal tracking tools.
* Manage cash advance clearances and settle outstanding payments immediately following the conclusion of project activities.

2. Accounting and Financial Reporting
* Conduct rigorous quality control on payment requests, input transactions into banking systems, review disbursements bi-weekly, log data into accounting software (Vision +), and maintain organized digital and physical archives.
* Compile monthly accounting summaries by cross-referencing SAP data, booking vouchers, financial records, and supporting evidence for managerial review.
* Forecast quarterly cash flow requirements based on updated project schedules and assist the Programme Manager in dynamic budget tracking.
* Maintain up-to-date tracking logs for ongoing contracts, purchases, and partial action expenditures, while occasionally assisting the embassy's primary bookkeeper during lighter workloads.

3. Administration, Quality Control, and Logistics
* Oversee official correspondence, document filing systems, and the structural layout of concept notes, activity reports, meeting minutes, and official letters.
* Arrange logistics for field missions, Steering Committee meetings, and specialized program gatherings.

4. Communication and Event Management
* Translate professional documents between Indonesian and English.
* Assist in organizing special events, drafting newsletters, managing social media updates, and hosting visiting Swiss government officials.

## Essential Candidate Qualifications

To thrive in this multicultural and fast-paced environment, applicants must meet specific professional and personal criteria:

* Educational Background: A Bachelor’s degree in Accounting, Finance, Business Administration, or a closely related discipline.
* Professional Experience: Between 2 to 5 years of hands-on experience in accounting, financial reporting, procurement, logistics, and administrative support within international development programs in Indonesia. Background in disaster risk management is considered a strong advantage.
* Technical Proficiency: Deep familiarity with Indonesian government financial policies and regulations (SBM), alongside advanced proficiency in Microsoft Office applications and specialized accounting software.
* Core Competencies: Uncompromising personal integrity, absolute discretion regarding confidential matters, exceptional organizational talent, and sharp planning abilities.
* Language Skills: Fluent command of both written and spoken English and Indonesian. Proficiency in German or French serves as an additional asset.
* Interpersonal Traits: Outstanding communication and negotiation capabilities, coupled with a proactive, team-oriented mindset suited for a diverse diplomatic workspace.
